Project Overview

This project involved the complete refurbishment of a prestigious apartment in Queens Gate Gardens, one of London's most sought-after residential addresses.

Our involvement began before the property was even purchased — accompanying the client during viewings, providing technical and practical advice throughout the acquisition process, and continuing as the client's representative from inception to final completion.

For over twelve months, we acted as the client's single point of contact, ensuring that every consultant, contractor and specialist worked together efficiently while protecting the client's interests throughout the project.

Scope of Responsibilities

As Client Representative, our responsibilities included:

  • Representing the client throughout every stage of the project.
  • Coordinating the entire professional team.
  • Acting as the primary liaison between the client and the main contractor.
  • Managing day-to-day communication across all project stakeholders.
  • Reviewing, verifying and authorising contractor invoices and payment applications.
  • Monitoring construction quality and programme.
  • Attending regular site meetings and maintaining a daily on-site presence during critical stages.
  • Coordinating deliveries, installations and specialist contractors.
  • Liaising with the building management team regarding approvals and logistics.
  • Managing communications with neighbouring properties to minimise disruption.
  • Coordinating with local authorities where required.
  • Resolving day-to-day construction issues to maintain programme and quality.
  • Reporting progress, risks and key decisions to the client.

FF&E Management

The project included the procurement and coordination of an extensive Furniture, Fixtures & Equipment (FF&E) package. This involved coordinating suppliers, reviewing quotations, managing deliveries, scheduling installations and ensuring all items were delivered and installed in accordance with the project programme.

  • Successfully represented the client throughout a complex 12-month luxury refurbishment.
  • Coordinated a multidisciplinary team from concept through completion.
  • Managed communication between more than 30 specialist trades and consultants.
  • Oversaw a refurbishment budget of approximately £2.2 million.
  • Coordinated an FF&E package exceeding £650,000.
  • Reviewed and authorised contractor valuations, invoices and payment requests.
  • Maintained consistent on-site supervision and project oversight.
  • Ensured smooth collaboration between the client, design team and contractors.
  • Managed relationships with the building management company, neighbours and external authorities to facilitate uninterrupted project delivery.

Client Representation

As Client Representative, our role extended beyond project coordination to acting as the client's trusted decision-maker throughout the refurbishment — taking day-to-day decisions within the agreed project objectives so that progress was never delayed.

The client entrusted us with the authority to make informed operational decisions on their behalf, enabling efficient progress without the need for constant approvals. Regular communication was maintained through comprehensive weekly reports covering construction updates, programme status, budget tracking, procurement progress, risks and recommendations.

This level of involvement reflects the role of a true Owner's Representative — providing clients with the confidence that their investment is professionally managed and their interests protected throughout the lifecycle of the project.

Project Outcome

The refurbishment transformed the apartment into a bespoke luxury residence finished to the highest standard.

Through continuous client representation, meticulous coordination and proactive project management, the project was delivered while maintaining quality, programme control and effective communication between all parties involved.
